What Are the Main Cloud Storage Limitations?

The main cloud storage limitations are file size caps, path length limits, blocked characters and names, daily upload limits, and the number of items one device can sync smoothly. When a file breaks a rule, the sync app skips it, sometimes with only a small warning icon. Knowing the limits prevents most silent sync failures.

Limit OneDrive Google Drive Dropbox iCloud Drive
Max file size 250 GB 5 TB 2 TB 50 GB
Path length 400 characters No common issue Under 260 recommended Follows macOS rules
Blocked characters " * : < > ? / |, leading or trailing spaces Few Avoid special characters and trailing spaces Few on Apple devices
Reserved names CON, PRN, AUX, NUL, desktop.ini, names starting ~$ None common Some system files ignored Some system files ignored
Daily upload Not published for consumers 750 GB per user per day Not published for consumers Not published
Recommended item count Up to 300,000 items for best performance Not published Not published Not published

Limits come from each provider’s documentation, checked in October 2026. Providers change limits, so check the linked sources if a file is close to a limit.

How Each Limit Breaks Sync

File size caps

A file over the cap never uploads. The app may retry it forever, which can block the queue. Video projects, disk images and backup archives are the usual culprits.

Path length

The path is the full folder route plus the file name. Microsoft counts the entire decoded path, up to 400 characters for OneDrive. Deep folder trees copied from a server or a zip archive often exceed it. Dropbox recommends keeping paths under 260 characters.

Blocked characters and names

Windows and OneDrive reject certain characters and names. Files created on a Mac or Linux machine often contain a colon or question mark, which then fail on Windows. Microsoft also blocks names like CON and desktop.ini.

Daily upload limits

Google limits each user to 750 GB of uploads per day across My Drive and shared drives. A large first upload may stop partway and resume the next day.

Item count

Microsoft recommends syncing no more than about 300,000 items for best performance. Above that, OneDrive can become slow to start and scan.

Hidden Limits That Catch People Out

  • Google Docs, Sheets and Slides have their own limits, such as about 1.02 million characters per Document and 100 MB for converted spreadsheets and presentations.
  • Shared quotas. Google shares free space with Gmail and Photos; iCloud shares it with device backups.
  • Browser uploads. Dropbox warns that browser uploads over 375 GB may time out.
  • Free plan device limits. Dropbox Basic allows up to three devices.
  • Version history windows. Many consumer plans keep about 30 days.

How to Check Files Against the Limits

  1. Look for warning icons in your sync folder or the app’s error list.
  2. Search for files larger than the cap using your file manager’s size filter.
  3. In Windows, shorten long paths by moving deep folders closer to the top of your sync folder.
  4. Rename files with blocked characters. Replace : and ? with a dash.
  5. Split very large archives into smaller parts.

What These Limits Mean for Privacy and Safety

A file that silently fails to sync is not in the cloud. If your device is lost, that file is gone. This is why we tell readers to check the app’s error list weekly.

Limits also apply to backups that rely on sync folders. A separate backup tool with fewer restrictions, such as a computer backup service, closes that gap. See backup and sync.

Common Myths

“If the folder shows a green tick, every file synced.” The tick reflects what the app can sync. Skipped files show their own warning.

“Paid plans remove file limits.” Paid plans raise storage, not usually the per-file cap.

“Limits are the same everywhere.” They differ a lot between providers, as the table shows.

For fixes, start with our sync issues checklist. App-specific limits are covered in OneDrive storage limits and Google Drive storage full. For upload failures, see cloud storage problems.

Frequently Asked Questions

What is the largest file I can upload to cloud storage?

It depends on the service. Google Drive accepts files up to 5 TB, Dropbox up to 2 TB, OneDrive up to 250 GB and iCloud Drive up to 50 GB. Use the desktop app rather than a browser for very large files, because it resumes interrupted uploads instead of starting again.

Why does OneDrive say my file path is too long?

OneDrive limits the full decoded path, including folder names and the file name, to 400 characters. Deep folder trees and long file names exceed it quickly. Move the folder closer to the top of your OneDrive, shorten folder names, or rename long files to fix the warning.

Is there a daily upload limit for Google Drive?

Yes. Google lets each user upload up to 750 GB per day across My Drive and shared drives. Once you hit the limit, uploads pause until the next day. A single file larger than 750 GB can still finish uploading, but further uploads wait until the limit resets.

Which characters are not allowed in OneDrive file names?

OneDrive does not allow the characters ” * : < > ? / and | in file or folder names, and it rejects leading and trailing spaces. Some names are reserved, such as CON, PRN, AUX, NUL and desktop.ini. Rename affected files with a dash or underscore instead.

How many files can I sync without slowing down?

Microsoft recommends syncing no more than about 300,000 items with OneDrive for the best performance, with a preview raising that limit on some Windows 11 machines. Other providers do not publish a figure. Syncing fewer, larger files is always faster than many tiny ones, so zip archives you rarely open.
