What Do You Do When Cloud Storage Is Full?

When your cloud storage is full, uploads and sync stop until you free space or upgrade. Open the provider’s storage breakdown, then remove the biggest items first: old device backups, large videos, email attachments and files in the recycle bin. Emptying the recycle bin often frees space fastest, but only after you confirm nothing in it is needed.

Where space hides Provider How to check
Email attachments Google (Gmail), Microsoft (Outlook.com) Search for large attachments in your inbox
Photos and videos Google Photos, iCloud Photos, OneDrive camera upload Sort the photo library by size
Device backups iCloud (iPhone and iPad backups) Settings > [your name] > iCloud > Manage Storage
Recycle bin and trash All providers Open the bin on the website
Old file versions Some providers Version history for large files
Shared files you own All providers Files you shared that others uploaded into

What You Need Before You Start

  • Sign-in details for the provider’s website.
  • A computer, because clean-up tools work best on a big screen.
  • An external drive if you want to keep large files you remove from the cloud.
  • Twenty to thirty minutes.

Step 1: See What Uses Your Space

Every provider has a storage page that breaks usage down by service:

  • Google: go to one.google.com/storage to see Drive, Gmail and Photos usage. Google’s 15 GB free space covers all three.
  • Microsoft: open the OneDrive website and choose Settings > Options > Storage, or check your Microsoft account storage page.
  • Apple: on iPhone, open Settings > [your name] > iCloud. On Mac, open System Settings > [your name] > iCloud.
  • Dropbox: open Settings > Plan on the website.

Write down the top two or three categories. Clean those first.

Step 2: Remove the Largest Files First

Clearing a hundred small documents rarely helps. Find the big items instead.

  1. On the website, sort files by size if the option exists. Google Drive has a storage view that lists files by size.
  2. Move large videos, disk images and archives to an external drive, then delete them from the cloud.
  3. Delete duplicate copies of the same folder, which are common after sync conflicts.

Step 3: Clean Email and Photos

  • Gmail: search has:attachment larger:10M and delete old messages with large attachments.
  • Outlook.com: sort mail by size and remove large attachments you no longer need.
  • Google Photos and iCloud Photos: delete blurry shots, screen recordings and duplicate videos.

Deleting photos in iCloud Photos or Google Photos deletes them on every synced device. Download a copy first if you want to keep them.

Step 4: Remove Old Device Backups

On Apple devices, old iPhone and iPad backups often take gigabytes. In Manage Storage > Backups, delete backups for devices you no longer use.

Apple notes that if you turn off iCloud Backup for a device, its backup is deleted after 180 days. Delete it manually if you need the space now.

Step 5: Empty the Recycle Bin

Deleted files may still count toward your quota until the bin empties.

  1. Open the recycle bin or trash on the provider’s website.
  2. Check for anything you still need and restore it.
  3. Empty the bin.

Do this last. Once you empty it, files are gone for good.

Step 6: Restart Sync and Confirm

After you free space, sync apps resume on their own within minutes. If they do not:

  1. Pause and resume the sync app.
  2. Sign out and back in.
  3. Check that a test file uploads.

Should You Upgrade Instead?

Upgrading makes sense when your real files exceed the free tier. Compare plans on each provider’s site, since prices change by country. In my experience, a tidy-up buys time, but people with growing photo libraries usually need more space within a year.

Provider-specific clean-ups:

Common Mistakes

  • Deleting synced photos to save phone space. That removes them from the cloud too.
  • Emptying the bin first. Check it before you empty it.
  • Forgetting shared quotas. Gmail and Photos count on Google; backups count on iCloud.
  • Ignoring the warning. Files saved after storage fills are not protected.

If uploads still fail after clean-up, work through our sync issues checklist or the wider cloud storage problems guide.

Frequently Asked Questions

What happens when my cloud storage is full?

New files stop uploading and changes stop syncing, but existing cloud files stay safe. Some services also stop email delivery, such as Gmail or Outlook.com when they share the quota. Files you save locally remain on your device but are not protected until you free space and sync resumes.

Does deleting files from my computer free cloud space?

Only if the files sync. Deleting a synced file on your computer deletes the cloud copy too, after which it sits in the recycle bin until it expires or you empty it. Files outside the sync folder do not use cloud space, so deleting them changes nothing.

How do I free cloud space without losing files?

Download large files to an external drive or a second computer first, check that they open, then delete them from the cloud. Move old photo and video archives the same way. Keep a second copy of anything irreplaceable before you delete the cloud version.

Why is my storage still full after deleting files?

Deleted files often stay in the recycle bin and keep counting toward your quota. Empty the bin on the provider’s website. The storage meter can also take some time to refresh. Check that you cleaned the right account, since many people have more than one with the same provider.

Is it better to clean up or buy more storage?

Clean up first, because old backups, attachments and duplicates often free a lot of space. If your real files still exceed the free tier, buying storage is simpler than juggling accounts. Compare plans on each provider’s site, as prices and sizes vary by country and change over time.
